How do I put away a recorded goods receipt?

You can record free goods receipts via the WMS App, and goods receipts for supplier orders via the WMS App as well as the Pickware Admin. You can find more information on this in the following articles:

In this article, we show you all the options for releasing and putting away free goods receipts as well as goods receipts for supplier orders or returns via the WMS App or Shopware Admin.

Releasing a recorded goods receipt

Goods receipts that have been recorded but not yet released have the status Recorded in the Pickware Admin under Warehousing (Lagerhaltung) → Goods receipts (Wareneingänge) and can be released there using the corresponding button. Releasing the goods receipt finalizes the delivery quantities and changes the status to Released.

If you record goods receipts under Purchasing (Einkauf) → Supplier orders (Lieferantenbestellungen), you can also release them directly using the corresponding button.

This immediately finalizes the delivery quantities and releases the products for storage. The goods receipt then receives the status Released. If the stock of the target warehouse is available online, the products from the goods receipt are available for sale from this point on. You can see the stock of a product that has already been recorded and released in this way, but not yet finally put away, in the product details under the Stock tab.

Under Warehousing (Lagerhaltung) → Goods receipts (Wareneingänge) you will also find all goods receipts you have recorded with the WMS App. If the option Automatically release goods receipt after recording under Settings → Extensions → Pickware WMS in the Goods receipt section has been disabled, all goods receipts recorded via the WMS App are created with the status Recorded and can also be released in the goods receipt overview.

Putting away goods receipts

Putting away with the WMS App

All goods receipts that have not only been recorded but also released appear in the WMS App in the Goods receipt mode under the Open tab and can be selected for putaway from there. It doesn't matter whether these are free goods receipts or goods receipts for supplier orders. Alternatively, you can scan the barcode on the goods receipt document. To put items away, your user needs the appropriate permission.

In the following window, you can select or scan individual products and select the quantity, warehouse, and storage location. In the Warehouse and storage location selection, you can also use the filter icon next to the search bar to display only empty storage locations. Via Confirm [quantity], the products are booked to the corresponding storage locations.

Stock bookings happen in real time, so even if the goods receipt process is interrupted, stock is booked for the products already recorded. Individual processes can be deferred using the clock icon in the top left. You'll then find these under the Deferred tab and can resume them from there at any time.

Once all products have been put away, the process is complete and you return to the overview in the Open tab.

Putting away via the Pickware Admin

In the Pickware Admin, you can open a goods receipt under Warehousing (Lagerhaltung) → Goods receipts (Wareneingänge) and put it away completely using the button in the top right. To put away the products in your warehouse, you can also generate a putaway list using the corresponding button.

Alternatively, you reach this window if you choose the option Record & Release for a supplier order under Purchasing (Einkauf) → Supplier orders (Lieferantenbestellungen).

Please note that, unlike putting away with the WMS App, the warehouse or storage location cannot be selected manually here. The products are then put away in the target warehouse at their respective default storage location.

Which storage locations are suggested to me?

With the WMS App, you can personalize the goods receipt process using two different putaway strategies. These determine which storage locations are preferably suggested during putaway and are suitable for different warehousing systems.

Prioritize existing storage locations

This setting is enabled by default (even after a new installation!) and is particularly suitable if you use a fixed-slot system and your products are assigned to a fixed storage location. In this case, the system applies the following priority order:

1. Default storage location

2. Other storage location with stock of the same product (sorted in ascending alphanumeric order)

3. Empty storage location

4. Unknown storage location as a last resort

Advantage:

· Fast access to regularly stored items

· Clear assignment of each product fewer errors and faster processes during picking and stocktaking

· Focus on clarity and predictability

Prioritize empty storage locations

This setting is particularly suitable if you use a chaotic warehousing system and store your products flexibly depending on availability. In this case, the system applies the following priority order:

1. Default storage location

2. Empty storage location

3. Other storage location with stock of the same product (sorted in ascending alphanumeric order)

4. Unknown storage location as a last resort

Advantage:

· Flexible and efficient use of storage capacity

· Fast putaway that works without rigid assignment

· Optimal use of free storage locations

Which strategy is right for me?

Prioritizing existing storage locations is the best strategy if your company has a stable product range with fixed storage zones, long-lasting items, and few range changes, such as in the spare parts, technology, or wine industry.

Prioritizing empty storage locations is the best strategy if your company has a high turnover rate, offers a wide variety of items, and works with seasonal items or a rapidly changing range with strongly fluctuating stock, such as in the fashion, lifestyle, or drugstore industry.

Setting in the Pickware Admin

You can find the putaway strategy directly in the Pickware Admin under
Settings → Extensions → Pickware WMS → Goods receipt section.

Here you can then select the desired putaway strategy.

When the WMS App is newly installed, the fixed-slot system strategy is activated automatically.

When putting away in goods receipt mode, the app automatically suggests storage locations based on the selected strategy. You can accept the suggestion or manually select a different storage location. If no suitable location is found, e.g. for new items without a fixed assignment, the "Unknown storage location" is suggested as a last resort.
