What configuration options do I have for goods receipts?

With Pickware WMS and ERP (Pro), you have the option to record and put away free goods receipts or goods receipts for supplier orders. You can find all goods receipts in your Shopware Admin under Warehouse management (Lagerhaltung) → Goods receipts (Wareneingänge). In addition, the WMS App offers you the goods receipt mode, which you can access via the app menu. Below, we introduce you to all configuration options for goods receipts.

Configuring the default goods receipt warehouse

In addition to the default warehouse, you can also define a default goods receipt warehouse, which is preselected as the destination warehouse for goods receipts via the Shopware Admin. Upon installation, your default warehouse is automatically also set as the default goods receipt warehouse. If you want to designate a different warehouse as the default for goods receipts, you need at least Pickware Advanced. Similar to the default warehouse, the warehouse declared as the default goods receipt warehouse cannot be deleted either.

In the Shopware Admin under Warehouse management (Lagerhaltung) → Warehouses and storage bins (Lager und Lagerplätze), you can identify the default goods receipt warehouse by the checkmark in the corresponding column. Double-click on the desired row to adjust the assignment.

How do I change the destination warehouse of a goods receipt after the fact?

You can also change the destination warehouse of a goods receipt in the Shopware Admin after it has been recorded. This ensures that the goods receipt is assigned to the desired warehouse in the valuated stock.

To do this, open Warehouse management (Lagerhaltung) → Goods receipts (Wareneingänge) in your Shopware Admin. Select the desired goods receipt and open the detail view. Change the destination warehouse here and save the change.

The destination warehouse can be changed as long as the goods receipt has not yet been recorded in the valuated stock. If the goods receipt has already been evaluated in a saved valuated stock, the change is locked. In this case, a corresponding error message appears.

In addition to the destination warehouse, quantity-related fields are then also no longer editable. The goods receipt status will additionally show that the goods receipt has been taken into account in the valuated stock.

The default warehouse is not changed this way. The subsequent change to the individual goods receipt only overrides the preselection for this specific transaction.

In the Shopware Admin under Settings → Extensions → Pickware WMS, in the Goods receipt (Wareneingang) section, you'll find the following configuration options:

Choosing a put-away strategy

Basically, when putting away goods with the WMS App, the default storage bin is suggested first. Afterward, depending on your selection, either an existing storage bin or an empty storage bin is suggested for putaway.

Automatically release goods receipt after recording

If this option is deactivated, the process initially ends as soon as the goods receipt has been recorded. In the Shopware Admin, it accordingly receives the status Recorded and must first be released there. After that, the process can be resumed and the putaway carried out. If the option is deactivated, the Recorded status is skipped, and the goods receipt directly receives the status Released. The included products can then also be seamlessly put away right after being recorded.

Automatically print goods receipt slip

If this option is activated, a goods receipt slip is generated when the goods receipt is interrupted. By scanning the barcode printed on it, you can resume the process at a later time.

The goods receipt is interrupted if the setting above (Automatically release goods receipt after recording) is deactivated, since the goods receipt must first be released after being recorded before the products can be put away. The goods receipt can also be interrupted manually if the Put away later option is selected during the process.

Under Warehouse management (Lagerhaltung) → Goods receipts (Wareneingänge), you'll find an overview of all goods receipts. Each goods receipt is given a goods receipt number, and you can also see the selected warehouse, the status, and the creation date. Put-away supplier orders can be identified via the entry in the Origin column. Via the context menu, you can view the details of the goods receipt and create a putaway list.

The following statuses are possible for goods receipts:

  • Recorded – Goods receipts with this status have been recorded but not yet released. This status is only possible if the corresponding option in the configuration for automatically releasing recorded goods receipts has been deactivated.

  • Released – Released goods receipts have been recorded and checked and can be put away. These goods receipts are also visible in the WMS App under the Open tab.

  • In progress – These goods receipts are currently in progress on an iOS device or have been paused, and thus correspond to the entries in the In progress and Paused tabs respectively in the WMS App.

  • Completed – This includes all goods receipts that have been fully recorded and put away.

Goods receipt mode in the WMS App

In the WMS App, you access the Goods receipt mode via the app menu in the top left. Here you'll see all not-yet-completed free goods receipts, goods receipts from supplier orders, and goods receipts from returns. Each transaction is given its own goods receipt number and is sorted into one of the three tabs below depending on its status.

  • Open tab – This is where goods receipts that have been accepted and checked but not yet put away are located. In the Shopware Admin, these have the status Released. Please also refer to the notes on configuration in the Shopware Admin.

  • Paused tab – This is where all transactions where the putaway was interrupted are located.

  • In progress tab – This shows all transactions that are currently in progress on other devices.

You can record new goods receipts via the blue plus icon in the top right.
