You can record free goods receipts via the WMS App and goods receipts for supplier orders via the WMS App as well as the Shopware Admin. You can find more information about this in the following articles:
In this article, we show you all the options for releasing and putting away free goods receipts as well as goods receipts for supplier orders or returns via the WMS App or Shopware Admin.
Releasing a recorded goods receipt
Recorded but not yet released goods receipts have the status Recorded in the Shopware Admin under Lagerhaltung (Warehouse Management) → Wareneingänge (Goods Receipts) and can be released there using the corresponding button. Releasing the goods receipt means that the delivered quantities are finalized and the status changes to Released.
If you record goods receipts under Einkauf (Purchasing) → Lieferantenbestellungen (Supplier Orders), you can also release them directly using the corresponding button.
This immediately finalizes the delivered quantities and releases the products for put-away. The goods receipt then receives the status Released. If the stock of the target warehouse is available online, the products from the goods receipt become available for sale from this point onward. You can see the stock of a product that has already been recorded and released in this way, but not yet finally put away, in the product details under the Bestand (Stock) tab.
Under Lagerhaltung (Warehouse Management) → Wareneingänge (Goods Receipts) you will also find all goods receipts that you have recorded with the WMS App. If the option Wareneingang nach Erfassung automatisch freigeben (Automatically release goods receipt after recording) under Einstellungen (Settings) → Erweiterungen (Extensions) → Pickware WMS in the Wareneingang (Goods Receipt) section has been deactivated, all goods receipts recorded via the WMS App are created with the status Recorded and can likewise be released in the goods receipt overview.
Putting away goods receipts
Putting away with the WMS App
All goods receipts that have not only been recorded but also released appear in the WMS App in Wareneingang (Goods Receipt) mode under the Offen (Open) tab and can be selected from there for put-away. Your user needs the corresponding permission for this. It doesn't matter whether these are free goods receipts or goods receipts for supplier orders. Alternatively, you can scan the barcode on the goods receipt document.
In the following window, you can select or scan the individual products and select the quantity, warehouse, and bin location. In the Lager und Lagerplatz (Warehouse and Bin Location) selection, you can also use the filter icon next to the search bar to explicitly display only empty bin locations. Using [Quantity] confirm, the products are booked to the corresponding bin locations.
Stock bookings happen in real time, so that even if the goods receipt process is interrupted, stock is booked for the products already recorded. Individual processes can be deferred using the clock icon in the top left. You will then find these under the Zurückgestellt (Deferred) tab and can resume them from there at any time.
Once all products have been put away, the process is complete and you return to the overview under the Offen (Open) tab.
Putting away via the Shopware Admin
In the Shopware Admin, you can open a goods receipt under Lagerhaltung (Warehouse Management) → Wareneingänge (Goods Receipts) and put it away completely using the button in the top right. To distribute the products in your warehouse, you can also create a put-away list using the corresponding button.
Alternatively, you reach this window if you select the option Erfassen & Freigeben (Record & Release) for a supplier order under Einkauf (Purchasing) → Lieferantenbestellungen (Supplier Orders).
Please note that here, unlike putting away with the WMS App, the warehouse or bin location cannot be selected manually. The products are then put away in the target warehouse at their respective default bin location.

Which bin locations are suggested to me?
With the WMS App, you can personalize the goods receipt with two different put-away strategies. These determine which bin locations are preferably suggested during put-away and are suitable for different warehouse management systems.
Prioritize existing bin locations
This setting is enabled by default (even after a new installation!) and is particularly well suited if you use a fixed location system and your products are assigned to a fixed bin location. In this case, the system applies the following priority order:
1. Default bin location
2. Other bin location with stock of the same product (sorted alphanumerically in ascending order)
3. Empty bin location
4. Unknown bin location as a last resort
Advantage:
· Quick access to regularly stored items
· Clear assignment of each product — fewer errors and faster processes during picking and inventory
· Focus on clarity and predictability
Prioritize empty bin locations
This setting is particularly well suited if you use chaotic warehousing and put away your products flexibly, depending on availability. In this case, the system applies the following priority order:
1. Default bin location
2. Empty bin location
3. Other bin location with stock of the same product (sorted alphanumerically in ascending order)
4. Unknown bin location as a last resort
Advantage:
· Flexible and efficient use of storage capacity
· Fast put-away without rigid assignment
· Optimal use of free bin locations
Which strategy is right for me?
Prioritizing existing bin locations is the best strategy if your business has a stable product range with fixed storage zones, long-lasting items, and few product range changes, such as in the spare parts, technology, or wine industry.
Prioritizing empty bin locations is the best strategy if your business has a high turnover rate, offers a large variety of items, and works with seasonal items or a rapidly changing product range with highly fluctuating stock, such as in the fashion, lifestyle, or drugstore industry.
Setting in the Shopware Admin
You can find the put-away strategy directly in the Shopware Admin under
Einstellungen (Settings) → Pickware WMS → Wareneingang (Goods Receipt) section.
Here you can then select the desired put-away strategy.
When a new installation of the WMS App is set up, the fixed location system strategy is automatically activated.
Example view in the WMS App
When putting away in goods receipt mode, the app automatically suggests bin locations based on the selected strategy. You can accept the suggestion or manually select a different bin location. If no suitable location is found, e.g. for new items without a fixed assignment, the "Unknown bin location" is suggested as a last resort.
