How do I migrate to the new Pickware ERP, WMS & POS extension?

With Pickware ERP, WMS & POS, you now have a central extension with all Pickware functions available through the Shopware Store. The new Pickware extension is gradually replacing the previous extensions ERP, ERP Pro, WMS and POS, and comes in four different plans to cover your requirements precisely.

In this article, you'll learn how to switch to the Pickware extension as a user of the previous extensions and how to book the new plans.

Step by step to the new extension

1. Safety measures and prerequisites

To avoid problems and errors during the update, first put your shop into maintenance mode. You can find out how to put your shop into maintenance mode in this article in the Shopware documentation. Make sure that all Sales Channels are put into maintenance mode so that no new orders can be created during the update. In addition, no actions should be performed in the administration or on the WMS or POS during the update process.

Then create a backup of your entire shop system. If errors occur during the subsequent migration process, you can restore the backup at any time.

In the next step, make sure that the previously used Pickware extensions are installed in the latest version in your shop. The latest versions are a mandatory prerequisite for switching to the all-in-one solution. Another mandatory prerequisite is that your shop uses at least Shopware version 6.6.10.5 or 6.7.X.X.

2. Installation and activation

You can get the Pickware ERP, WMS & POS extension for free in the Shopware Store. Only the extension from the Shopware Store is needed for installation and updates. Downloading the Pickware WMS and POS extensions from the Pickware Account is therefore no longer necessary.

After you've installed Pickware ERP, WMS & POS in your shop, you can activate it directly. Then connect your Pickware Account to get started. Please note that the functions can only be used after activation once your Pickware Account is connected and a plan has been booked.

Installation via Composer

If you'd rather install the Pickware ERP, WMS & POS extension via Composer, please follow the steps in this guide.

Please note that once you've decided on one variant – via the Shopware Admin or via Composer – the extension must be updated and uninstalled the same way.

3. Connecting the extension to your Pickware Account

If your Pickware extension isn't yet connected to a Pickware Account, a corresponding notice will be displayed in your Shopware Administration. Click Connect now, and you'll be redirected directly to your Pickware Account.

Please choose the scenario that applies to you below. Depending on your starting situation, you can either carry out the migration yourself or you'll need to contact our support team beforehand.

3a) You've previously only used ERP and/or ERP Pro in Shopware 6, and therefore don't yet have a Pickware Account:

In this case, you can create a new account directly at this point. The free trial period will then start automatically and all functions of ERP, WMS and POS will be available for testing in full. Please remember to book the desired ERP plan as well as the WMS and POS licenses before the trial period ends, so that you can continue using Pickware.

3b) You have a Pickware Account with an active subscription, because you're currently also using WMS and/or POS in Shopware 6:

Please contact our support team in this case, so that we can unlock your account accordingly. You can then book the ERP plan that suits you under Plan & device licenses. You can find an overview of which ERP plan offers which functionalities here.

3c) You've previously used WMS and/or POS in Shopware 6, but currently don't have an active subscription for POS or WMS:

In this case, you can simply log into your existing Pickware Account and book the ERP plan that suits you. You can find an overview of which ERP plan offers which functionalities here.

If you've been inactive for a long time, your account may have been deleted in the meantime. In this case, you can create a new account, analogous to scenario 3a).

3d) You've previously only used Pickware for Shopware 5 and want to migrate to Shopware 6:

If you use the POS or WMS App, you already have a Pickware Account. To connect the Pickware extension for Shopware 6 to your Pickware Account, you need to add your new Shopware 6 shop to your Pickware Account. To do this, log into your Pickware Account and add your Shopware 6 shop to your Pickware Account via the + icon at the top left, then click Try now in the following menu:

The free trial period will then start automatically, and all functions of ERP, WMS and POS will be available for testing in full in your new Shopware 6 shop. Please remember to book the desired ERP plan as well as the WMS and POS licenses before the trial period ends, so that you can continue using Pickware.

Once your Shopware 6 shop has been added to your Pickware Account, go back to your Shopware Administration and connect your extension to your Pickware Account as described in point 3 above.

4. Removing the old extensions

As soon as you've installed and activated the new Pickware extension and connected it to your Pickware Account, the old extensions need to be removed from the shop one by one.

Deactivate the extensions in the following order:

  1. WMS, POS and ERP Pro

  2. ERP

Afterwards, you need to uninstall these extensions. When uninstalling each Pickware extension, you'll be asked the following confirmation question:

Uninstall the extensions without permanently removing the app data! After removing the old extensions, you can deactivate maintenance mode for the Sales Channels again and continue your daily business seamlessly.

After you've successfully uninstalled the extensions, you must finally delete them using the Remove button.

This final removal of the extension is essential! Otherwise, you may receive warning notices from Shopware regarding license violations. You can find more information about deleting licenses directly from Shopware.

As a final step, you should cancel the subscriptions for the Pickware ERP and ERP Pro extensions via the Shopware Store.
