Starting with Pickware Advanced, you can create and sell product sets. To do this, you can mark any product in the Shopware Admin as a product set. You can then assign products and their respective quantities to this product, either in the Shopware Admin or via CSV import.
The CSV import in Shopware 6 is compatible with Shopware 5, so as part of a migration you can easily transfer your existing product sets from Shopware 5 to Shopware 6.
In this article, we show you how to create and manage your product sets and explain stock management for product sets. At the end of the article, you will also see what product sets look like within an order in the Admin and from the customer's point of view.
Creating product sets
To convert a product into a product set, open the product details. In the Product sets tab you will find the Configure product set section, where you can activate the Product is a product set option. If you want to import your product sets via CSV file, it is enough for the product to exist, since the Product is a product set option is set automatically during import.
All product sets can then be found under Catalogues → Product sets as well as under Catalogues → Products.
Besides regular products, you can also use a variant product as a product set. What matters is the specific product or variant that you mark and manage as a product set.
If you work with variants, open the desired variant in the product details and activate the option Product is a product set in the Product sets tab. You then maintain the assigned products and quantities just as you do for other product sets.
An example: You sell products individually and as a set. To do this, create a variant product with the properties Single and Set. For each variant, you assign the products with their quantities in the Product sets tab, for example Single = 1× A + 1× B and Set = 12× A + 6× B. A set may also contain only one product in a larger quantity, for example 6× the same product. A variant cannot contain another variant of the same main product.
Note: There have repeatedly been problems with product set plugins from other providers, and their compatibility with the WMS App is not guaranteed. Therefore, use the Pickware product sets under Catalogues → Product sets and test plugins from other providers in a test environment first. Errors caused by another provider's plugin are fixed by that plugin's manufacturer.
A third-party template editor can also override how product sets are displayed on the picklist. In that case, include the custom field Artikelname auf Pickliste (Item name on picklist) in the template or deactivate the editor for picklists.
Assigning products to product sets in the Shopware Admin
In the product details, in the Product set tab, you can choose from all products in your shop which ones should be added to the product set. Double-click the row to adjust the quantity. Then save the product. To remove a product from the product set again, use the context menu and select Delete.
Here you can also see the total price of the assigned products and what discount results compared to the price of the product set. If you want to adjust the price of the product set, you can do so as usual in the General tab in the Price section.
Coupling the price to the assigned products
As an alternative to maintaining the price manually, you can activate the Couple price option in the Product sets tab. This lets you define a fixed discount – absolute or percentage – relative to the sum of the selling prices of all assigned products. When you activate it, the discount is automatically prefilled with the current difference, so the displayed price does not change.
While price coupling is active, the selling price of the product set is automatically recalculated whenever the price of an assigned product changes. The calculation is based on gross prices; the net price is derived from the tax rate of the product set.
The price of the product set can then no longer be edited manually – neither in the General tab, nor via a price rule in the Advanced pricing tab, via import, or via the API. Only the stored discount remains editable. A relative discount above 100% is rejected when saving with the message Der relative Abschlag der Preiskopplung darf 100 % nicht überschreiten.; an absolute discount that would push the price below €0 is capped at €0.
For product sets with variants, saving asks whether the price coupling and the discount should be applied to all variants of the product set.
Price coupling can also be configured for multiple product sets at once via import and export.
Purchase price of product sets
The purchase price of a product set is not calculated from the assigned products. Only the selling price is calculated automatically, via Couple price. The product set has its own field for the purchase price. If a default supplier is assigned to it, that supplier's purchase price is adopted.
Pickware does not overwrite this field. So you can, for example, enter the sum of the purchase prices of the assigned products yourself.
From the supplier, you usually only order the assigned products. The product set itself has no stock movements, otherwise it would be counted twice in the valued inventory.
Assigning products to product sets via CSV import
To avoid errors during import/export, please be sure to follow these notes: Tips for handling CSV files in Shopware.
If you want to export your product sets from Shopware 5, proceed as follows:
Open your Shopware 5 backend and navigate to Content → Import/Export.
In the Export tab, select the profile viison_set_articles_compositions (Stücklisten-Artikel Zusammensetzung). Select the export format CSV and then click Start export.
The exported file can now be uploaded without further changes in your Shopware 6 Admin under Catalogues → Product sets → Import. The prerequisite is that you have previously created products with the corresponding product numbers. If they have not previously been marked as a product set, this happens automatically during import.
Viewing product set membership
In the product details, in the Product sets tab, you can also see whether the product belongs to one or more product sets by clicking on Product sets. If a product belongs to a product set, it can no longer become a product set itself, which is why the corresponding button is greyed out.
Adjusting product sets via CSV import
To avoid errors during import/export, please be sure to follow these notes: Tips for handling CSV files in Shopware.
Exporting all existing product sets
To adjust your product sets via CSV import, first perform an export under Catalogues → Product sets.
In the overview under Catalogues → Product sets you only see product sets that are already assigned to a product. Product sets without a product assignment are not shown there and therefore cannot be imported. If you want to import new product sets, always add a product assignment in your CSV file.
In the CSV file, there is a separate row for each assigned product, containing the product number of the product set, the product number of the product itself, and the quantity.
Adding a product or adjusting the quantity
To add a new product, you need to add another row to your CSV file containing the product number of the product set, the assigned product, and the quantity. If you want to adjust the quantity of an already assigned product, you only need to change the value in the Quantity column.
In this example, the product with the number SW10088 ("Awesome Paper Lyrichord") is added once to the product set SW10098 ("Heavy Duty Cotton Cutter Claw") or, if it was already included before, the quantity is corrected to 1.
The columns Product name product set and Product name assigned product are only for your orientation and can also be left empty, as they have no influence on the naming in the Shopware Admin.
Product number product set | Product name product set | Product number assigned product | Product name assigned product | Quantity |
SW10098 | Heavy Duty Cotton Cutter Claw | SW10088 | Awesome Paper Lyrichord | 1 |
Alternatively:
Produktnummer Stückliste;Produktname Stückliste;Produktnummer zugeordnetes Produkt;Produktname zugeordnetes Produkt;MengeSW10098;Heavy Duty Cotton Cutter Claw;SW10088;Awesome Paper Lyrichord;1
Removing products
If you want to remove products from the product set, the quantity 0 must be entered for the corresponding product. Simply deleting the row is not sufficient here.
In this example, the product with the number SW10088 ("Awesome Paper Lyrichord") is removed from the product set SW10098 ("Heavy Duty Cotton Cutter Claw").
Product number product set | Product name product set | Product number assigned product | Product name assigned product | Quantity |
SW10098 | Heavy Duty Cotton Cutter Claw | SW10088 | Awesome Paper Lyrichord | 0 |
Alternatively:
Produktnummer Stückliste;Produktname Stückliste;Produktnummer zugeordnetes Produkt;Produktname zugeordnetes Produkt;MengeSW10098;Heavy Duty Cotton Cutter Claw;SW10088;Awesome Paper Lyrichord;0
Importing the updates in the Shopware Admin
When you have finished all changes, save the file in CSV format and upload it again via Catalogues → Product sets → Import. As soon as you reload the page in your browser once, the changes become visible.
Stock of product sets
Since the availability of a product set depends on the availability of the assigned products, product sets themselves have no stock. For comparison, here is the Stock tab of a regular product:
This is what the Stock tab looks like after the product has been converted into a product set:
A product set itself is never stock-managed. The stock of a product set is calculated from the availability of the assigned products as follows:
Assigned products for which stock management is deactivated are not included in the stock calculation.
If stock management is deactivated for all assigned products, the available stock is based on the maximum purchase quantity and looks like this in your Shopware Admin:
The maximum purchase quantity of the product set has a higher priority than that of the assigned products. Only if no maximum purchase quantity is assigned to your product set does the calculation fall back on the maximum purchase quantity of your assigned products. You can view and set the maximum purchase quantity in the product details of your product set or product in the Deliverability tab.
Please also note that the stock of your product set can behave differently when you enable clearance sale for your products or the product set, as well as when you deactivate stock management for products.
How availability, available stock, and maximum purchase quantity of a product set are calculated depending on clearance sale and stock management is explained in Product sets: Behavior of the availability calculation.
Tip: To make a product set appear as unavailable in the shop as soon as a component is missing, activate clearance sale on the main product of the product set.
Changing the stock of a product set
Because a product set has no stock of its own, you change the stock of the assigned products: Under Catalogues → Products, open the assigned product and switch to the Stock tab. The available stock of the product set results from how often it can be assembled from the assigned products. It is the same for all Sales Channels.
Reorder point for product sets
You cannot set a reorder point on the product set itself, only on the assigned products. How to set it is described in Which product information can I maintain with Pickware?.
The available stock of the product set is incorrect
Pickware calculates stock via the message queue and the scheduled tasks of Shopware. If a product set shows an incorrect available stock or it differs in a Sales Channel, first check whether the message queue and scheduled tasks are running. Then trigger the stock calculation for the product again (Pickware Stock Indexer). You can find out how in Why is my stock in Pickware incorrect?
Note on customs information for product set items
When export documents are created for orders with product set items, it is important that a fallback customs value in the default currency is stored for the sub-items.
Since sub-items are always added to orders at €0, price information may otherwise be missing in the export documents.
The customs value is determined in the following order:
Price of the order item
If this is €0: customs value of the product
If this is also €0: price of the product in the default currency
If the main item (i.e. the product set item itself) has a price, it is used automatically. In this case, no additional fallback customs value is needed for the sub-items.
