In this article, you will learn how to set up your document for invoice corrections, including all the necessary settings for B2B invoice corrections. We also show how you can create documents for different Sales Channels.
You can find instructions on creating invoice corrections in your day-to-day business here.
Configure the invoice correction document
You can customize your invoice correction document under Settings → Shop → Documents → pickware_erp_invoice_correction, or create another invoice document via Create document. Below you will find an overview of the various settings options.
Assignment
When you create a new document, you first have to define a Document type and assign it to a Sales Channel. A document can also be assigned to multiple Sales Channels.
Settings
Here you will find various options for the appearance of the document. For example, you can upload your company logo, set the Page format and orientation, and show or hide the header and Footer, the page numbering, and the numbering of order items. You can also configure here whether the note on intra-community delivery or tax-exempt export should be displayed on the invoice. Please note the information on this further below.
Business settings
Here you can enter your company address and other company details. The address appears at the top right, or above the destination address, on the invoice document.
Configure the invoice per Sales Channel
If you have connected multiple Shopify shops to your Pickware Admin and therefore need individual invoice correction documents, create a separate invoice correction document for each shop and assign the corresponding Sales Channel to it.
The Default invoice correction document applies globally to all Sales Channels and cannot be deleted. However, as soon as another invoice correction document exists for a specific Sales Channel, it is used instead of the global document.
Configure number ranges
Under Settings → Number ranges, you can adjust the existing number ranges as needed and add new ones, and use the Assignment section to control which Document type or Sales Channel they should apply to.
Display the VAT Id, the note on intra-community delivery, and the note on tax-exempt export on the invoice
For B2B invoice corrections within the EU, the VAT Id and a note on the intra-community delivery must be included automatically. For deliveries outside the EU, a note on tax-exempt export is required. To achieve this, the following settings must be made in Pickware Admin:
Under Settings → Countries, enable the following fields
the option Tax-free (B2B) for each Country
the option EU member state for each EU Country
Under Settings → Documents → Invoice, enable the following fields:
Display "intra-community delivery" note
Display customer VAT Id
Display "tax-exempt export" label
As soon as a VAT Id is stored for a Customer, the Customer is marked as a business customer. This can be maintained either via our metafield or via Shopify Plus at the company location. You can find out how to use our metafield here. Alternatively, you can open the relevant Customer account under Customers → Overview, click Edit there, and select the entry Business in the Customer type field. In general, the notes are only displayed on order documents for business customers.
Whether and in which case the notes intra-community delivery or tax-exempt export are displayed on the invoice correction is controlled via the EU member state field under Settings → Countries. All countries marked as EU member states receive the note intra-community delivery, and all other countries receive the note tax-exempt export.

Background image for documents
Under Background image in the document settings, you can store an image that is displayed across the entire area of the document. This way, you can, for example, carry your corporate design over to the invoice correction.
To do this, select an image from the uploaded media.
Please keep the following in mind:
The image is stretched across the entire page area. Therefore, use an image with the aspect ratio of A4 portrait (210 × 297 mm). For good display quality, we recommend a resolution of at least 1240 × 1754 pixels (150 DPI), ideally 2480 × 3508 pixels (300 DPI).
The image must not be fully opaque, as otherwise the text on the document will no longer be legible. Therefore, use an image with a transparent or very light background.
