How do I configure my credit note document?

In this article, you'll learn how to set up your credit note document, including all necessary settings for B2B credit notes. We'll also show you how to create documents for different sales channels.

Configuring the credit note document

You can adjust your credit note document under Settings → Shop → Documents → pickware_erp_invoice_correction, or create another invoice document via Create document. Below you'll find an overview of the various configuration options.

Assignment

When you create a new document, you first need to define a document type and assign it to a Sales Channel. A document can also be assigned to multiple Sales Channels.

Settings

Here you'll find various options regarding the document's appearance. For example, you can upload your company logo, set the page format and orientation, and show or hide the header and footer, page numbering, and order line items. Here you can also configure whether the note about intra-community delivery or tax-exempt export delivery should be displayed on the invoice. Please refer to the notes on this further below.

Business settings

Here you can enter your company address and other business details. The address appears in the top right, above the destination address on the invoice document.

Configuring the invoice per Sales Channel

If you have connected multiple Shopify shops to your Pickware Admin and therefore need individual credit note documents, create a separate credit note document for each shop and assign it to the corresponding Sales Channel.

The default credit note document applies globally to all Sales Channels and cannot be deleted. However, as soon as another credit note document exists for a specific Sales Channel, it will be used instead of the global document.

Configuring number ranges

Under Settings → Number ranges, you can adjust existing number ranges as needed and add new ones, and use the Assignment section to control which document type or Sales Channel they apply to.

Displaying the VAT ID, note on intra-community delivery & note on tax-exempt export delivery on the invoice

For B2B credit notes within the EU, the VAT ID and a note on the intra-community delivery must be automatically included. For deliveries outside the EU, a note on tax-exempt export delivery is required. To do this, the following settings need to be made in the Pickware Admin:

  • Under Settings → Countries, enable the following fields

    • for each country, the option Tax-free (B2B)

    • for each EU country, the option EU member state

  • Under Settings → Documents → Invoice, enable the following fields:

    • Display "intra-community delivery" note

    • Display customer VAT ID

    • Display "tax-exempt export delivery" note

  • As soon as a VAT ID is stored for a customer, they are marked as commercial. This can be maintained either via our metafield or via Shopify Plus at the company location. You can find out how to use our metafield here. Alternatively, you can open the relevant customer account under Customers → Overview, click Edit there, and select Commercial in the Customer type field. In general, the notes are only displayed on order documents for business customers.

Whether and in which case the notes intra-community delivery or tax-exempt export delivery are displayed on the credit note is controlled by the EU member state field under Settings → Countries. All countries marked as EU member states receive the intra-community delivery note, and all other countries receive the tax-exempt export delivery note.

Background image for documents

Under Background image in the document settings, you can store an image that will be displayed across the entire document. This way, you can, for example, transfer your corporate design to the credit note.

To do this, select an image from the uploaded media.

Be sure to note the following:

  • The image is stretched across the entire page. Therefore, use an image with an A4 portrait aspect ratio (210 × 297 mm). For a good display, a resolution of at least 1240 × 1754 pixels (150 DPI) is recommended, ideally 2480 × 3508 pixels (300 DPI).

  • The image must not be completely opaque, as otherwise the text on the document will no longer be readable. Therefore, use an image with a transparent or very light background.
