An order can consist of multiple fulfillment orders that are picked and shipped separately. This article shows you where to find them, what their states mean, and how to ship them. What a fulfillment order is is explained in Locations and fulfillment orders with Pickware.
Where do I find my fulfillment orders?
You can find all fulfillment orders in the overview under Warehousing. The overview is your work list: You can filter and sort in it, and ship fulfillment orders directly.
The following columns are available:
Pickability — shows whether there is enough stock to partially or completely pick the fulfillment order. Click the icon to open the detail.
Number, State, Target order, and Customer
Shipping method and Location — both determine how and from where the fulfillment order is fulfilled
Payment state of target order, Created at, and Updated at
You can click the colored label in the State column to filter the list directly by that state – for example, to see all fulfillment orders that are still open. Using the filter icon next to the Shipping method, you can additionally filter by it, for example to find open express fulfillment orders. Another click on the label removes the filter again.
You can see the fulfillment orders of a single order in the Fulfillment orders tab on the order. There they are split into two sections: Fulfillment orders shows what still needs to be fulfilled, Fulfillments shows what has already been shipped.
What states does a fulfillment order have?
Open — the fulfillment order is to be fulfilled, picking has not started yet.
In progress — picking is under way. Pickware also reports this state back to Shopify.
Angehalten (On hold) — the fulfillment order was put on hold in Shopify and is not to be fulfilled for the time being.
Completed — the fulfillment order was shipped or is otherwise done.
Voided — the fulfillment order is dropped, for example because the line item was removed from the order.
What role does the order status play?
Whether a fulfillment order appears for picking in the WMS App is determined by its own state: Open fulfillment orders are ready for picking. The order status of the order does not change that.
This is especially important when archiving. If you archive an order in Shopify that has not yet been fulfilled, Pickware sets the order status to Completed. However, Shopify leaves the order's fulfillment orders open in this case, and Pickware adopts this behavior. The fulfillment orders therefore stay open and continue to appear in the WMS App.
If an order is no longer to be fulfilled, cancel it in Shopify. Archiving only hides it in Shopify's order overview.
Shipping a fulfillment order
You ship a fulfillment order using the Ship action — either directly from the overview or on the fulfillment order's detail page. The shipping label uses the fulfillment order's shipping method and the sender address of the location it is assigned to.
In four cases, the action is not available:
Extern auszuführende Lieferaufträge können nicht versendet werden. The fulfillment order belongs to a Shopify location that you have not linked with Pickware.Angehaltene Lieferaufträge können nicht versendet werden.First release the fulfillment order again in Shopify.Abgeschlossene Lieferaufträge können nicht erneut versendet werden.Abgebrochene Lieferaufträge können nicht versendet werden.
Checking pickability
Pickability is calculated per fulfillment order. By default, the stock of all warehouse zones of the location the fulfillment order is assigned to is taken into account.
If you only want to evaluate specific warehouse zones, first filter the list to exactly one location. Only then can you select individual zones of that location in the Warehouse zones field.
With the Only consider default warehouse zone switch, you limit the calculation to the default warehouse zone of the respective location. When it is off, all warehouse zones of the location are taken into account.
Fulfillment orders on hold and voided fulfillment orders
A fulfillment order is put on hold in Shopify, for example in the case of an unclear shipping address or suspected fraud. Pickware adopts the state and shows the fulfillment order as Angehalten (On hold). It does not appear in the WMS App, so that no goods are picked that then cannot be shipped. As soon as Shopify releases the fulfillment order again, it is ready for picking again.
If a line item is removed from the order, the associated fulfillment order is dropped. It remains visible in the fulfillment orders overview and carries the corresponding state there. In the fulfillment order's state history, you can trace which change was adopted from Shopify.
If the entire order is voided, the Fulfillment orders tab indicates that there are no more fulfillment orders to be fulfilled.
Changing orders while picking is in progress
As soon as picking of a fulfillment order has started, it is In progress in Shopify. Shopify then no longer allows this part of the order to be edited: Line items can neither be removed nor reduced in quantity.
If something still needs to be changed, the fulfillment order must first be marked as not in progress again in Shopify. This prevents goods from being assembled in the warehouse that in the end no longer match the order.
If a fulfillment order is put on hold in Shopify while it is already being picked, shipping fails at the end. Therefore, coordinate such changes with your warehouse.
Automations
Automations work at the level of fulfillment orders. If a rule or a flow creates a shipping label, it is created for the respective fulfillment order and uses the sender address of its location. For an order with multiple fulfillment orders, multiple labels are created accordingly.
The same applies to products that are shipped automatically: The stock is taken from the location of the fulfillment order, not across locations.
If you work with multiple locations, review your existing automations once — especially those that create shipping labels or documents.
Partial deliveries
If an order consists of multiple fulfillment orders, you ship them individually. For the customer, this results in multiple shipments, each with its own shipping label and its own tracking.
Which documents are created when shipping depends on the shipping method. If invoice printing is active there, the invoice is printed again for each fulfillment order shipped. Check the document settings of your shipping methods if you regularly ship orders across multiple fulfillment orders.
