How can I use Shopify Flow with Pickware?

Shopify Flow is Shopify's own app for automating workflows directly within Shopify. The app is included in every Shopify plan and requires no additional installation. In combination with Pickware, you can use Shopify Flow to automate various processes that go beyond the capabilities of the Pickware Flow Builder – for example, time-based actions like payment reminders.

Shopify Flow works independently of Pickware: Flows are created and executed in your Shopify Admin. When a flow changes an order or a product in Shopify, this change is then automatically transferred to Pickware.

Payment reminders for open orders

If you work with payment methods such as prepayment or invoice, you might want to automatically send a payment reminder to your customers if payment is not received. Shopify Flow provides ready-made templates for this, for example Payment Reminder sent on due date. You can find these templates directly when creating a new flow under Templates in the Shopify Admin.

A typical flow for payment reminders works as follows:

  1. The flow is triggered when an order becomes due.

  2. A condition checks whether the order is still unpaid.

  3. If the order is unpaid, the flow automatically sends a payment reminder by email.

You can use the templates directly, or use the built-in Shopify AI to describe and create a custom flow.

If you need a dunning document as a PDF beyond a plain email reminder, you'll find specialized apps in the Shopify App Store, for example Kindly Payment Reminder.

A classic dunning process with multi-stage dunning documents, as known for example from Shopware 5, is not offered by Pickware on Shopify as a standalone feature. For most use cases, a Shopify Flow with a payment reminder or the use of a payment provider with built-in invoice purchase is sufficient.

Transferring marketplace order numbers

If you sell on marketplaces such as Amazon or eBay via Shopify Marketplace Connect, you can use Shopify Flow to automatically transfer the marketplace order number to Pickware. This allows you to use the marketplace order number on shipping labels, documents, and in the order overview.

Creating your own flows

In addition to the examples described here, you can use Shopify Flow to create any automation that reacts to Shopify events – for example, status changes, product changes, or customer actions. Shopify provides a library of templates as well as a built-in AI that can create flows based on a natural language description.
