How do I synchronize my stock between Shopify and Pickware?

With Pickware, you manage the stock of your Shopify shop centrally, control purchasing, carry out stocktakes, and evaluate your inventory. Stock changes are automatically transferred from Pickware to the connected Shopify location in real time.

This article shows you where to configure stock synchronization and how to synchronize your stock between Shopify and Pickware once when activating it — for example, to initially transfer your stock from Shopify to Pickware. Before first use

When you start with Pickware, all your products are automatically imported into Pickware. This also transfers the stock levels maintained in Shopify at that time. Therefore, make sure your stock levels in Shopify are correctly maintained. You can, of course, correct errors later as well.

Once you have transferred stock to Pickware, it's best to make stock changes only in Pickware from then on. All stock changes are then automatically transferred to Shopify in real time.

Configuring stock synchronization in Pickware

In your Pickware Admin, click on your connected Shopify shop for which you want to configure stock synchronization, in the Sales Channels section on the left in the main menu. Then select the Stock Synchronization tab.

Connected Shopify location

This is the Shopify location to which the entire stock from Pickware is exported. The sum of all online available stock from Pickware forms the stock level at this Shopify location. For more information about the connected location, see here:

Automatic stock export (Pickware → Shopify)

The automatic stock export transfers the online available stock from Pickware to the connected Shopify location in real time. As soon as the available stock of a product changes in Pickware — for example, due to orders, goods receipts, transfers, stocktakes, or manual stock corrections — the change is automatically synchronized to Shopify.

When you activate the automatic stock export, you are guided through a process in which you perform a one-time initial stock synchronization (see the next section).

Initial stock synchronization upon activation

When you activate the stock export, you are guided through a process. Depending on whether you have previously maintained your stock in Shopify or in Pickware, you have two options available:

Import stock from Shopify and continue

Transfers the current stock from Shopify to Pickware once. This import overwrites the existing stock in Pickware. The imported quantities are assigned to the default warehouse, if one exists, otherwise to the "Unknown" storage location. This option is suitable if you have previously maintained your stock in Shopify and have made changes there since the initial product import.

Transfer current stock to Shopify and continue

Transfers the current stock of all products from Pickware to Shopify once. Make sure the stock levels maintained in Pickware are correct before starting the export. After starting, the stock of all products is updated in the background; this process can take a few minutes. This option is suitable if you already use Pickware as your primary inventory management system.

The stock export overwrites the stock of your products in Shopify with the stock values from Pickware. Therefore, make sure you have maintained the correct stock levels in Pickware before choosing this option.

After activation, changes to the available stock level are synchronized with your Shopify shop in real time.

Importing open orders from Shopify into Pickware

To be able to process and ship orders in Pickware, the relevant open orders from Shopify should be imported into Pickware. For pure stock calculation towards Shopify, it is no longer strictly necessary for every open order to already be present in Pickware, since Pickware takes reservations for stock calculation directly from Shopify into account.

If automatic order import is activated, all newly incoming orders from Shopify are automatically imported into Pickware. You can manually import already existing open orders. You can find a detailed guide here: How do I manually trigger the order import?

Stock changes during order import

If order import is activated for the Shopify Sales Channel in the Pickware Admin, the stock for the open order line items is automatically reserved in both Shopify and Pickware as soon as a new order is received.

When orders are shipped in Pickware or Shopify, the stock level is automatically deducted and the stock reservation is released in both Pickware and Shopify. A manual stock export is not necessary.
