How can I trigger the order import manually?

Learn how to manually trigger the order import from Shopify to Pickware, using a single order or tags for several orders.

In this article, you'll learn how to manually trigger the order import from Shopify to Pickware. Usually, this happens automatically once Shopify is connected to Pickware, so new orders are transferred to Pickware when they come in and existing orders are updated when they change.

Manually triggering the order import

There are two simple methods to trigger the order import for one or several orders:

Using the "Open in Pickware" option (single order)

This method is especially useful if you want to process a single order right away and jump directly to the corresponding view in Pickware.

Open the order you want in your Shopify Admin. In the top right, click the More actions menu and select the Open in Pickware option.

This triggers the order import and takes you directly to the order in your Pickware Admin.

You can pin this function permanently in the order view so it's always visible. To do so, further down in the order, click + Block, select the Open in Pickware function, and then click the pin icon to pin the block for all users.

Using tags (one or several orders)

If you want to manually import or update several orders at once – for example, to transfer older orders that came in before you installed Pickware – setting a tag is the best approach.

You can set tags within an order using the field at the bottom right.

For several orders, first select them in the orders overview, then click the button with the three dots and select the Add tags option.

You can then either select an existing tag or create a new one. Then click Save.

Changing the tag updates the orders and triggers the order import.

What can I do if an order doesn't arrive in Pickware?

Open the order in your Shopify Admin and select the Open in Pickware option under More actions. This triggers the import of this order again.

If the order is indeed missing, check in the Pickware Admin under Sales Channels for your Shopify shop whether the connection to Pickware is active. Then trigger the import as described above.

If a large order import is running in parallel, e.g. during a migration, new orders from Shopify will only arrive in Pickware once this import has finished. If you have a go-live coming up during this time, contact support.
