To access the products from your Shopify shop in Pickware for shipping, purchasing, and warehouse management, you can quickly and easily import them into Pickware. Below, we explain everything about importing products and their product details.
As a general rule: All products in the Shopify Admin need a unique SKU ("Stock Keeping Unit"). The product number in Pickware is generated based on this SKU, allowing products to be uniquely identified across systems. Please also note that if the same product is sold in multiple Shopify shops, the same SKU must be used in all Shopify shops.
Initial product import after connecting a Shopify shop
When you connect a Shopify shop for the first time, all products that exist in Shopify are automatically imported into your Pickware Admin. This also transfers the current stock at the Shopify location linked to Pickware. Depending on the number of products in your Shopify shop, this process can take up to several hours.
If you connect another Shopify shop to Pickware and sell the same products, make sure the products from the new shop have the correct/identical SKUs as the products already in your Pickware Admin. This ensures they are correctly linked and prevents duplicate products from being created during import.
Live product import
All changes you make to your products in Shopify are automatically transferred to Pickware within a few minutes. This includes newly created products, changes to existing products, and newly created product variants. A manual product import is not necessary!
For products that are imported for the first time, the current stock level from Shopify is always transferred. If the product already exists in Pickware, manual stock changes in Shopify are not transferred to Pickware. If needed, the stock import (Shopify → Pickware) is available for this purpose.
Triggering a manual product import
If you want to manually trigger a product import for all products, for example because you have changed the priority of your Sales Channels, navigate to the Sales Channel settings in the side menu of your Pickware Admin and switch to the Product Import tab. Here, you can trigger a manual product import for each connected Shopify shop.
Where can I see my products in the Pickware Admin?
You can find the imported products under Products → Overview. Using the menu button (1), you can set the order of the columns as well as which columns should be shown or hidden in your overview. Using the filter icon (2), you can filter your products by various properties and specify whether all variants of a product should also be shown in the list.
Opening a product from Shopify directly in Pickware
You can also open your product directly in your Pickware Admin from Shopify. In the product details in Shopify, you'll find the Open in Pickware button in the More actions action menu. This button lets you open the currently viewed product directly in Pickware — without having to search for it manually.
If you open a main product, you'll land on the corresponding main product in Pickware. If you open a variant, you'll go directly to that variant in Pickware.
If the product doesn't exist in Pickware yet, it's automatically created before the detail page opens. If the product has already been imported, changes from Shopify are applied immediately — so you always see the current state.
What permissions are required?
The Open in Pickware button is only visible to users who have the corresponding permission for the Pickware app in Shopify. Check this in Shopify under Settings → Users and permissions → Users → App permissions and make sure that Pickware is enabled.
To save yourself additional clicks, you can also add an app block to the product details. To do this, scroll all the way down and click + Add block. This way you have direct access to Pickware in view.
Variant products
Products from Shopify with multiple options (variant products) are also created as variant products in Pickware. All options from Shopify are created as a property in Pickware.
In the Shopify standard, up to 2048 variants per product are currently possible. The live product import always imports the first 100 variants. If you have products with more than 100 product variants, you can trigger a manual product import, as the 100-variant limit doesn't apply there.
Tax rate and price calculation
When importing products from Shopify, the standard tax rate is applied by default in Pickware. Tax-exempt products always receive a tax rate of 0%. If you carry products with different tax rates (e.g., standard and reduced tax rate) in your range, you can use the Product Tax Assignment feature in the Sales Channel settings to specify which Shopify collections are assigned to which tax rate. This has no effect on the taxes in orders and invoices. For orders, the correct tax rate and price of the included line items are always taken directly from Shopify.
Configuring the product import
Setting the priority of Sales Channels
If you have connected multiple Shopify shops to your Pickware Admin, you can adjust the priority of your connected shops in the Sales Channel settings by moving them into the desired order using the arrows. Then save using the blue button in the top right. If you connect a new Sales Channel to your Pickware Admin, it will initially be placed and prioritized at the very bottom.
Excluding product details from the product import
You can exclude individual product details from the product import. To do this, open the Sales Channel settings and go to the Product Import tab. Then select the product properties that should not be overwritten.
By default, a small Shopify icon is displayed next to each field name in the product properties that is maintained by the product import. If you exclude this type of information from the product import, the icon disappears accordingly.
Please also note that if you have connected multiple Shopify shops to your Pickware Admin, only the product details from the Shopify shop with the highest priority in which the product exists will be applied. If you exclude the import of individual product details for this Shopify shop, these details will not be taken from a Shopify shop with lower priority.
Which product properties are taken from Shopify?
If you haven't excluded any properties from the product import, the following information is taken from Shopify:
Title – name of the product
Manufacturer – the product's vendor
SKU / product number – If your Shopify product has an SKU, Pickware uses it as the product number. If this number already exists, it will receive the suffix -duplicate-abc. Without an SKU, Pickware automatically assigns a new product number. You can find more on how to deal with such duplicates here.
Description
Price – If the Show prices with tax included option is enabled in your Shopify shop under Settings → Taxes and duties, the price from Shopify is taken over in your Pickware Admin as the gross price; otherwise as the net price.
Compare-at price – If the Show prices with tax included option is enabled in your Shopify shop under Settings → Taxes and duties, the compare-at price from Shopify is taken over in your Pickware Admin as the gross price; otherwise as the net price.
Cost per item – The purchase price is imported as the net price.
Tax rate – Either the standard tax rate is entered here (Settings → Taxes) or 0% if the product is marked as tax-exempt in Shopify. Also refer to the information further below.
Free shipping – No for physical products and Yes for non-physical products.
Stock – For new products, the stock from Shopify is applied here; if the product already exists in Pickware, the stock is not changed.
Weight – The weight, converted to kilograms. If a weight of less than 1 gram is specified, it is rounded down to 0 kg.
Barcode / EAN or GTIN ("European Article Number" or "Global Trade Item Number")
Currency – The currency is based on the default currency set in Shopify. If the default currencies in Shopify and Pickware differ, the price in the Pickware Admin is converted using the respective currency factor. You can find the currency factors under Settings → Currencies.
Country of origin – Relevant for customs information on export.
Harmonized system code (HS code) – Relevant for customs information on export.
Continue selling toggle – This field corresponds to the Continue selling when out of stock option in Shopify and is taken over from there into the Pickware Admin. You can find more information on this directly at Shopify.
Product tags – If you have set tags in Shopify, these are also taken over into Pickware. You can find more on tags in this article.
Picking instruction – This transfers the picking instruction that can be set at the product and variant level in Shopify.

General note on maintaining product properties
Fields with this icon are maintained directly in Shopify.
For your changes to also be visible in Shopify, always make them directly in the Shopify Admin. You'll receive the following notification if you try to save such a change in Pickware.
Using the corresponding button, you can open the product directly in the Shopify Admin. Once you've saved your change there, it will be transferred to Pickware via the live product import.
Fields relevant only for Pickware Admin orders
In the product details you'll find the three fields Minimum order quantity, Quantity scale, and Maximum order quantity. These values apply exclusively to orders you create manually in the Pickware Admin — they are not transferred to Shopify and have no effect on orders that come in through your Shopify shop. The ? icon next to the fields gives you a corresponding note directly in the interface.
