How do I create orders manually in Pickware?

Manually creating and processing orders in Pickware is a practical solution when you want to manage B2B orders independently of your Shopify shop. This approach is especially helpful for capturing orders with special conditions or individual price agreements that aren't handled through the standard Shopify checkout process. By creating these orders manually in Pickware, you can easily integrate these B2B orders into your warehouse and shipping logistics.

Configuration

Before you create orders in Pickware, make sure you've made the appropriate configurations. You can find more information in these articles:

Creating orders

You can create orders through the order view under Orders → Overview → Create order.

Next, select a customer account or create a new one.

If you have multiple Shopify shops connected to your Pickware Admin and the relevant customer account is set up for multiple sales channels, select the sales channel you want to create the order for.

Switch to the Products tab and click Add product there.

Double-click in the Name column and either select a product from the dropdown menu or search directly by typing. If needed, adjust the quantity in the corresponding column. Finally, click the blue checkmark to save the order item. Add all the products you want to the order this way.

Next, switch to the Options tab. The data here is taken from the customer account, but you can adjust things like the payment method or shipping method here if needed. Then click Preview in the bottom right.

You are now in the draft view. Here, if needed, you can adjust the price of the products by double-clicking in the corresponding price field under Items in the General tab. You can also define pricing rules in advance, allowing for things like price discounts for certain customer groups. You can find more information on these settings here. Now click Save order in the top right.

You will then be asked whether you want to send your customer a payment request by email. This sends an email and changes the payment status to Reminded.

Please note that the email is only sent if you have set up a corresponding flow. You can find more about automation using the Flow Builder here.

Picking

Your manual orders can be picked like regular orders, either through the WMS App or Pickware Admin. Since payments would normally be processed through Shopify, which isn't possible for manual orders, you need to handle payments for these orders yourself. You can find more information here.
