How can I process Click & Collect orders from Shopify with Pickware?

In addition to shipping orders, you can also offer local pickup at your store or warehouse. In this article, you'll learn what needs to be configured for this and how these orders can be processed with Pickware.

Please note: This article covers pickup orders that were created via your online shop. For these, DATEV payments are created as usual, which can be exported via the DATEV payment export. This does not apply to pickup orders that you created via Shopify POS, since Shopify POS orders are generally not compatible with Pickware. You can find more information on this here.

Enable local pickup

First, you need to enable local pickup in Shopify. To do this, navigate in your Shopify Admin to Settings → Shipping and delivery → Local pickup → Set up.

Now click on the Shopify location for which you want to enable pickup. Then, in the next step, activate the checkbox in the top right corner.

Once the option is enabled, additional configuration options will appear below. When everything is configured to your satisfaction, click Save at the top.

Click & Collect orders in picking

At checkout

At checkout, Pickup can now be selected as the delivery method. The order is synchronized to Pickware as usual and appears in the WMS App for picking.

Click & Collect orders in admin and app

The Click & Collect order is then displayed like a regular order in Shopify Admin, Pickware Admin, and the WMS App (when using the All Orders pick profile) and can be picked like a regular order.

In Shopify, you can recognize pickup orders by the delivery method Local pickup.

In Pickware, when the first Click & Collect order is imported, a corresponding shipping method is automatically created under Settings → Shop → Shipping, with the name of the shipping method taken from the name of the respective Shopify location. You don't need to configure this shipping method any further. It's important that you don't set up a shipping carrier for it in Pickware, so that no shipping label is generated.

If you like, you can adjust the document printing at this point or change the name of the shipping method in Pickware. Please note that this change has no effect on how it's displayed in Shopify Admin or at checkout.

If needed, you can create an additional pick profile for your Click & Collect orders so that you can see all Click & Collect orders in the app at a glance:

Configure pickup notifications

Your customers don't receive an automatic email when their order is ready for pickup. You can notify them manually or wait until they come by on their own. However, with many Click & Collect orders, it makes sense to set up an automatic notification. Here's how to do it.

1. Create an email template

First, we'll create the email template. To do this, click on Add → Add email template under Settings → Shop → Email templates. Alternatively, you can duplicate an existing email template using the context menu and adjust the text there.

The following areas are relevant in the template configuration:

  • Type – Selecting the type determines the variables you can use in your email text. For this purpose, the types Delivery status reached: Shipped or Order confirmation are suitable, among others. You can find all available variables for each type on the right side of the page via the </> icon. Variables must always be specified as follows: ####{{ Variable }}

  • Description – (Optional) Add an internal description here so you can identify your email template more easily later on.

  • Subject – This text will later be displayed as the subject line in the email.

  • Sender – Here you can enter the name of your shop. If you have linked multiple Shopify shops to your Pickware Admin, you can instead use the variable ####{{ salesChannel.name }} so that the correct shop for the order is used automatically.

You enter the text of your email in the Mail text section. In the Text field, you enter the plain text including variables, while in the HTML field you handle the visual design. You can preview your email using the eye icon on the right side of the page.

2. Create a rule

In the next step, we need a rule to filter all Click & Collect orders. To do this, go to Settings → Shop → Rule Builder and click Create rule. Add the following condition there, selecting your Click & Collect payment method as the payment method:

3. Create a flow

Finally, we'll combine all the elements in a new flow. To do this, go to Settings → Shop → Rule Builder and click Add flow. In the General tab, give it a name and activate the flow using the button at the very bottom. Then switch to the Flow tab.

Now select a trigger that best fits your processes. Assuming that you mark your Click & Collect orders as shipped directly after picking, options such as Pickware → Shipping → Fully shipped or Status reached → Order delivery → Status → Shipped are suitable.

Next, add a condition
and select the rule you
created earlier.

Now add an action
for the true path.

If the condition is met,
an email should be sent based on
the email template you created
earlier. To do this, click here on
General → Send email.
In the template, select the
corresponding template.
If you like, you can
specify under Attachments
that, for example, the invoice
should be sent along with it.
Then click Add action.

Your flow should now look approximately like this:

Then save your flow. As soon as you mark a Click & Collect order as shipped, the customer in question should now receive a pickup notification by email.
