Pickware ERP also gives you the option to perform a stocktaking. You can also find the following instructions as an illustrative video tutorial. On this topic, also read our blog post, in which we introduce you to the benefits of continuous stocktaking.
Starting a stocktaking
To start the stocktaking, open the stocktaking export under Products (Artikel) → Warehouse (Lager). You are now in the Counted tab. In the top left, you can select a warehouse and then see all the products located there. The list also shows you whether there were any stock differences during the last stocktaking (Stocktaking difference column) and who performed the stocktaking for the respective products (User column). You can use the User field to filter the product overview by individual users.
Performing the stocktaking
To record stock levels, switch to the Uncounted tab. Select the start of the stocktaking period as the date, so that only the products for which no stocktaking has yet been carried out in the current stocktaking period are displayed.
Using the Export (CSV) button, you can also download the entire overview as a CSV file and print it out, note the stock levels on paper, and enter them into the backend later.
Now double-click on the corresponding row in the Counted quantity column for the product whose stock you want to record and enter the number. Unlike the Counted tab, all products are displayed here per storage bin, meaning a product located in multiple storage bins will have multiple entries. Make sure to select the correct row.
Once you have recorded all stock levels, click Apply counted quantities.
If there are products left over at the end because they could not be found, you can use the corresponding Set all counted quantities to 0 button to set the stock level to 0 for these products. Make absolutely sure that the correct date is set in the Last stocktaking before field before clicking the button. If no date is specified, all products will be set to zero!
Completing the stocktaking
Now switch back to the Counted tab. There you will find all newly counted products, including any stocktaking differences. In this case, the stock levels have already been automatically corrected. Click Export (CSV) to have a CSV file generated.
Note: To make stocktaking even more efficient, we recommend using our WMS App as part of Pickware WMS, which forwards the recorded stock levels directly to the backend, where they are then available in the Counted tab. You can find more information on stocktaking with Pickware WMS in this article.
