Storing in, taking out & transferring products

Since Pickware ERP 4.0 we support chaotic warehouse management. This means that multiple products can be assigned to a specific bin location, and a product can also be distributed across multiple bin locations. You can assign a product to bin locations either in the backend in the product details or in the WMS App.

Assigning bin locations with Pickware ERP

Open any product and scroll down in the Master data (Stammdaten) tab until you see the Warehouse (Lager) section. Here you can edit both the stock and the bin location where it is stored.

Important: Manually adjusting the Available stock (Verfügbarer Lagerbestand) in the Stock (Lagerbestand) section can lead to stock inconsistencies and is therefore only recommended if you want to correct existing stock inconsistencies. You can find more information on this here.

Every warehouse maintained in the shop is listed here with the corresponding physical stock of the product. Within a warehouse, the stock is further broken down and shown for each bin location of the warehouse. You can view this information by clicking the plus icon to the left of the warehouse name. On the right edge of each bin location's row, the following editing options are available:

  • Pencil icon: Make stock adjustments.

  • Star icon: Define whether this bin location is the default bin location for the product. Note: A maximum of one default bin location per product and warehouse is possible.

  • Bin location icon: Open the bin location details to see which other products are stored at this bin location.

  • Barcode icon: Mark the bin location for label printing. This option is only available in combination with Pickware WMS or POS.

The default bin location matters when you set customer orders to Fully delivered. In this case, stock is primarily taken out from the default bin location.

If you want to store in, take out, or transfer a product via the backend, click the Adjust stock button for the corresponding warehouse. The following dialog opens:

Here you can now choose between the different processes Store in, Take out, and Transfer using the tabs. When editing the target bin location, if you click the pencil icon, you can either choose from all bin locations already assigned to the product or from all bin locations created in the warehouse. Alternatively, you also have the option of not defining a bin location for a stock entry. In this case, simply click the delete icon and a stock entry for an unknown bin location will be created.

Important: The unknown bin location is not an existing, physically separate bin location. The term simply expresses that stock exists for a product—for example, in a box in the corner of the warehouse—but is not stored at a declared bin location.

You can also conveniently make stock changes via CSV import.

Using the Stock limits tab, you also have the option of defining a minimum stock and a target stock. The minimum stock determines which products are suggested to you for reordering as part of supplier orders. The target stock indicates the quantity the warehouse should be replenished to when reordering. Therefore, the target stock must be at least as large as the minimum stock.

Assigning bin locations with Pickware WMS

To store in, take out, or transfer products, navigate to the Products tab in the app, make sure the correct warehouse is selected at the top of the screen, and then select a product via search or by scanning. You can now choose between the three modes Store in, Take out, or Transfer.

Storing in products: Enter the desired quantity here and select the bin location. The last purchase price is already entered as the price, but you can also enter a different value. If you want to store in products from a supplier order that you created with Pickware ERP, there is a dedicated process for this: Storing in supplier orders.

Taking out products: When taking out, you can specify the quantity as well as the bin location you want to take it out from.

Transferring products: In the Transfer tab, you can select which bin location to take the product out of and which bin location to store it into. Using the plus icon in the top right corner, you can create a new bin location. In the To warehouse field, you can move the product to a completely different warehouse. Please note that you need the appropriate permission for your user to change bin locations in the app.

For all processes, you can also scan the bin location to select it, provided you use bin location labels. You can also add comments. The default comments Inventory, Depreciation, and Goods receipt can be customized in the plugin configuration of Pickware ERP. If you select Free text, you can then enter an individual comment.
