Switching from another shop system or ERP to Pickware happens in several steps. The goal is to transfer existing shop and inventory data in a structured way and then set up Pickware correctly.

Pickware is used in combination with Shopify. A prerequisite for the migration is therefore switching to this shop system first. Corresponding guides are available directly from Shopify for migrating to Shopify.

In this step, only the shop data (e.g. customers, orders, products) is transferred to the new shop system. The migration of the inventory management data follows afterward.

In the next step, the master and company data relevant to Pickware, such as products, suppliers, storage locations, etc., is exported from the previous system.

Xentral provides its own instructions and export functions for exporting this data. The corresponding documentation describes which data can be exported and in which format.

After the export, the data is imported into Pickware and the basic settings are configured. The procedure follows the existing Pickware migration guides.

If you import orders into Shopify via the Shopify API or a custom migration tool, make sure that the processed_at field on each order contains the original order date — i.e. the date on which the order was placed in the source system.

If processed_at is instead populated with the date of the import, Pickware treats these orders as if they were placed at the time of import. This can cause historical orders to be included in the calculation of the order fee, even though they were placed before Pickware was used.
