How can I purchase from suppliers in a foreign currency?

Maintain purchase prices, supplier orders and goods receipts in Pickware for Shopware 6 in your supplier's currency.

If your suppliers invoice in a different currency than your shop, you set the currency directly on the supplier. Purchase prices, supplier orders and goods receipts are then shown in the supplier's currency, so you no longer have to convert anything yourself. Stock value and stock valuation remain in your shop's default currency.

Prerequisites

The supplier's currency must be set up in your shop. You manage the currencies and their currency factors in the Shopware Admin under Settings → Shop → Currencies. Pickware calculates with these currency factors. Maintain them there regularly so that new orders and goods receipts use current rates.

With the Advanced plan, you can have the rates updated automatically. You'll find the Automatic exchange rates switch at the top of the currency overview. When it is active, the currency factors of all currencies are updated daily at 16:00 UTC. For currencies covered by the European Central Bank, its reference rate applies; for all others, the rate from the Frankfurter service applies. Manually maintained factors are overwritten in the process. Automatic exchange rates are not included in the Starter plan or in the previous extensions ERP and ERP Pro; there you maintain the factors yourself.

Also check the Company country of residence field under Settings → Extensions → Pickware ERP in the Supplier orders section. Pickware pre-fills it automatically. The company's country of residence and the country in the supplier's address determine whether tax is charged for a supplier (see below).

Set the currency and taxation type on the supplier

In the supplier's master data you'll find the Currency and Taxation type fields. To learn how to create and edit suppliers, see the article How do I create and edit suppliers?.

  • Currency: You maintain the supplier's purchase prices and the Minimum order value (net) in this currency. New suppliers receive your shop's default currency.

  • Taxation type: Domestic, EU foreign or Third country. If the field is set to Automatic, Pickware determines the taxation type from the country in the supplier's address and your company's country of residence. The classification currently in effect is shown in parentheses behind it. For Domestic, the product's tax rate is charged; for EU foreign and Third country, no tax is charged.

You can also see both fields as columns in the supplier overview.

Change the currency of an existing supplier

If you have already set purchase prices or a minimum order value for the supplier, the Change the currency of the supplier window opens when you change the currency. There you choose whether the amounts are converted at the specified rate or cleared so that you can maintain them anew. You can overwrite the pre-filled rate. The conversion runs in the background. While it is running, you cannot create supplier orders for this supplier. Existing supplier orders remain unchanged.

Purchase prices in the supplier's currency

There is exactly one purchase price per product and supplier, in the supplier's currency. If a supplier with a foreign currency is the default supplier of a product, Pickware takes over their purchase price, converted at the current rate, as the product's purchase price in the default currency. If the rate changes later, this amount is not updated automatically, but only the next time the purchase price is saved.

In the purchase list, you see amounts in the default currency. For this, purchase prices in a foreign currency are converted at the current rate, as is the case for the comparison for Select cheapest supplier. The total per supplier and the check of the minimum order value, on the other hand, run in the supplier's currency. You'll find more about the purchase list in the article How do I create purchase lists for supplier orders?.

Supplier orders in a foreign currency

When it is created, a supplier order takes over the currency and taxation type of the supplier. Later changes to the supplier do not affect existing orders. In the order's Summary you see:

  • Currency and Taxation type of the order

  • Exchange rate with date (As of): your shop's currency factor at the time the order was created or its currency was last changed. It is for display only and has no influence on the stock valuation.

  • Total (default currency): the order value converted into the default currency. This amount is also available as a column in the overview under Purchasing → Supplier orders.

The order items are shown in the order's currency. To learn how to create and edit supplier orders, see the article How do I create a supplier order?.

Change the currency of an order

If the supplier has confirmed or invoiced an order in a different currency, you can change the order's currency via Edit in the Summary. When you save, Pickware converts all item prices into the new currency at the current rate. Open goods receipts for this order take over the new currency and the new rate.

The currency can no longer be changed if a goods receipt for this order is completed, if the order is completed or canceled, or if a goods receipt for this order also belongs to another order.

If the order's currency differs from the supplier's currency, Pickware does not compare the prices with the supplier's purchase prices. There is then no note about deviating prices or a minimum order value that has not been reached, and changed prices are not transferred to the supplier's data.

Goods receipts and stock valuation

A goods receipt for a supplier order always has the same currency as the order. When it is created, it takes over the current rate as its exchange rate. The goods are valued in the default currency at this rate. In the goods receipt's summary you see:

  • Exchange rate with its origin: shop exchange rate, set manually or, with automatic exchange rates, imported with source and date

  • the Calculation rate of the supplier order and the percentage deviation of the goods receipt from it

  • Total net (default currency)

If the rate does not match the one at which you actually paid, you correct it via Change exchange rate. The goods receipt is then revalued with the new rate. This is possible as long as the goods receipt is not yet included in a created valued stock.

Stock valuation and last purchase price calculate with the value of the goods receipt in the default currency.
