Stock is managed per location. On the product, you can see at a glance how much is physically stored at which location, how much of it is reserved, how much is available (that is, sellable), and what is still expected. If you work with locations, a warehouse is called a warehouse zone. You can therefore find the stock per warehouse in the breakdown per warehouse zone. Locations and fulfillment orders with Pickware explains what locations and warehouse zones are.
The overview on the product
Open a product and switch to the Stock tab. The Overview card shows one row per location, including the number of its warehouse zones, and ends with a Total row across all locations.
The columns are arranged like a calculation:
Stock − Not available − Reserved = Available
The Incoming column sits next to it and is not included in this calculation.
If you only manage one location, the stock is displayed accordingly without the breakdown per location.
What the stock types mean
Stock — what is physically there. This also includes goods receipts in progress and stock in picking boxes.
Not available — stock that is not available for sale, for example because it is in a warehouse zone that is not available online, or because it has been marked as not available.
Reserved — stock that is already set aside for open orders, from Shopify, Pickware POS, and the Pickware Admin.
Available — what is left after deductions and can be sold.
Incoming — expected quantity from supplier orders whose goods receipts have not yet been released.
Viewing details
The numbers in the overview are clickable. Click a value to open the breakdown — for example, which warehouse zones contribute to the not available stock or which orders reserve stock.
Clicking a location's name takes you to its detail page.
Editing stock
Use the Edit stock button at the top right of the card to book stock in, out, or between locations. On the warehouse zone cards further down, you will find the same button with the respective warehouse zone already preselected — this saves clicks when you know exactly where the goods should go.
Analyzing stock across all products
The Stock overview under Warehousing shows you all products together. In the View section, you define how detailed the breakdown is:
Per product — one row per product across all locations
Per product and warehouse location
Per product and warehouse zone
Per product and bin location
The selected view also applies to the export, which you use to download the list as a file.
What customers see as available in the shop
Pickware exports the available stock per location to the linked Shopify location. Which of these stock levels your customers actually see in the online shop is decided by Shopify: Locations that are active, used for online orders, and included in the relevant shipping profile are counted. A store-only location without online sales is not counted there, but its stock remains usable for the cash register.
