How does the packing process work in the WMS App?

Shopware 6 — When a packing process starts after picking, how to pack products into boxes, complete the process via the checklist and pause it.

After picking, the packing process follows in the WMS App: You pack the products into boxes, create documents and a shipping label, and ship the order. Whether this step takes place at all and how you get into it depends on the picking type.

When a packing process takes place

  • Batch picking and Single item orders picking – The packing process is a fixed part of the workflow.

  • Single picking and Cluster picking – The packing process is optional and deactivated by default. With cluster picking, you pack directly into the box while picking without it, so a second pass is not needed. You can activate it per picking type using the setting Additional packing process after picking.

If you don't find a packing process after picking, this is usually the reason: The setting is not active. You can read where it is located and what it does under How do I configure Pickware WMS in the Admin?.

Getting into the packing process

How you get into the packing process differs by picking type:

  • Single picking – If the additional packing process is active, the app moves seamlessly into the packing process after picking, without an intermediate screen.

  • Batch picking – After you have confirmed the orders to be picked, the app switches to the packing overview. There you see a progress ring with the number of orders and products as well as the list of all products to be packed. You start via Start packing.

  • Cluster picking – You see a list of orders and enter the box and the quantity directly for each order or each product.

  • Single item orders picking – Also via Start packing. Since a scan here corresponds directly to one order, the allocation to boxes is not needed.

Packing products

In the packing view, you capture the products by scanning or via the search field Search products, select the box and confirm the quantity. Once a product has been fully packed, it is marked in the list.

If scanning is required while packing for your user, tapping does not confirm a product, and the quantity can only be increased by scanning. You then scan each product and each additional unit. You can read how to set the scan requirement under How do I manage different user roles for Pickware WMS?.

For the last open product of an order, the confirmation becomes the action Complete box. This finishes the box and takes you to the checklist.

If you pack order by order, you can also split a shipment into several parcels and complete each parcel individually, on the iPhone as well as the iPad. You can read how this works under How does packing at the packing table work in the WMS App?.

Packing product sets

If an order contains a product set, the packing view shows it in a separate section Product sets, on the iPhone as well as the iPad. The number on the image of the product set indicates how many complete sets can be formed from the products that are still open.

If you pack order by order, you scan the barcode of the product set and thereby pack a complete set at once into the current parcel. Alternatively, you tap the product set, see its products and confirm a set there. If you pack product by product after batch picking, scanning the product set only opens its detail, because each product is allocated to a box individually. You then pack the products of the product set one by one.

You can only pack a complete set at once if the user's role has the permission Confirm all products of a product set at once and no product of the product set is batch-managed or requires additional properties during picking. Otherwise, the scan opens the detail of the product set, and you pack the products individually. The same requirements apply when picking.

The checklist for completion

After Complete box, a checklist guides you through the remaining steps. Only the steps that are active in your configuration are displayed. In the checklist you see:

  • the packed products of the order

  • the parcel

  • the created documents, for example the delivery note

  • the shipping label

If the options Require weighing while packing or Require a parcel photo while packing are active in the WMS configuration, they are added as two further separate steps in the checklist — weighing the parcel and taking the parcel photo. If both options are inactive, the steps do not appear at all. For weighing, a parcel scale must already be connected — you can find details under How do I use a parcel scale in the WMS App?.

If you have created shipping boxes as shipping material, the step Box is also added, between the documents and weighing. There you select the box used from the list or scan it. If none fits, you enter the dimensions of your own box via + Custom box. The dimensions of the box are then already present at the shipping label. If Require shipping box selection while packing is active in the WMS configuration, you can only continue once a box is selected; otherwise, the step can be skipped. Details can be found under How can I create shipping boxes and select them while packing?.

At the shipping label, you check the shipping method, dimensions and weight and create it via Create shipping label. The app shows you the generated label. Via Ship, you complete the order and move on to the next one.

Which documents are printed and when the shipping label is created

When order documents and the shipping label are created, you define per picking type under Settings → Extensions → Pickware WMS, using the settings Shipping label creation and printing and Document creation and printing, for example After completion of packing.

Together with the timing, the setting Confirmation when creating shipping labels at the very top of the Picking section takes effect:

With Create shipping labels fully automatically, the label is created and printed at the set time without any further interaction.

With Show shipping label creation view before creation, you first check the shipping method and shipping address and trigger the creation yourself.

One exception applies if a parcel is heavier than the maximum parcel weight stored for the shipping method. In that case, even with fully automatic creation, the app does not create the shipping label itself, but opens the window for creating the shipping label with the note Heavier than the maximum parcel weight of … above the weight. There you correct the weight or deliberately create the label with the higher weight via Create shipping label.

Document printing per shipping method

Which documents are created during picking and packing, you define per shipping method: under Settings → Shipping → [Shipping method] in the section Pickware WMS Document Printing. With the amount 0, the document concerned is not printed. The setting only applies to orders with this shipping method.

New documents with every delivery

The WMS App deliberately creates a new delivery note and a new shipping label with every delivery, because a partial delivery, for example, has different quantities and a different weight. If you also create the same documents via a flow, they will be printed twice.

Picking and packing are separate steps. If you scan the barcode of a picklist, the app starts picking for this order, not the packing process. You only get into the packing process once the order has been picked in the app, as described above under “Getting into the packing process”.

Pausing and resuming a packing process

You can set a packing process aside at any time and resume it later. A document is printed that lists the remaining products; by scanning the barcode printed on it, you resume the process.

You can find all processes via the tabs at the bottom of the screen:

  • Open – not yet started

  • Paused – set aside, can be resumed

  • In progress – currently being processed

  • Picked – packed, waiting for documents or shipping

Workflow depending on the packing mode

With batch picking, you use the setting Packing mode to define the order in which packing takes place: Product-by-product (the collected products are allocated one after another to the boxes of the individual orders) or Order-by-order (one order is packed completely before the next one begins). The workflow for Product-by-product is described in detail in How does packing for batch picking work in the WMS App?.
