You can receive and stock supplier orders in one step in the WMS App: you count the goods directly while stocking them and book them to the scanned bin location. At the end, the goods receipt contains exactly the quantity you stocked. This way you only go through each delivery once, and stock is only booked once the goods are actually on the shelf.
Activate one-step goods receipt
You define which process applies to goods receipts in the Pickware Admin under Settings → Extensions → Pickware WMS in the Goods receipt section. There, under Goods receipt process, select the option One step: count while stocking.
The setting applies to all supplier orders. Free goods receipts and returns still run in two steps even with this setting: you record them first and stock them afterwards.
Note: In the one-step process there is no approval between receiving and stocking. If you want to compare deliveries with the order in the Pickware Admin before stocking, select Three steps: receive, approve, stock. You can find all options in What options do I have for configuring goods receipts?.
Receive and stock a supplier order
In the one-step process, you start the goods receipt from the supplier order and go straight to stocking, without recording a goods receipt beforehand.
Open the app menu, select Goods receipt and tap Supplier order.
Select the supplier order from the list or via the search field. The app first shows you a preview with the open products of the order and the suggested bin locations. Nothing is created in the preview: if you go back, no goods receipt is created.
Tap Start stocking. Only now is the goods receipt created. Its number then appears as the title at the top of the view.
Select or scan a product. Count the quantity, scan the bin location and, for batch-managed products, also scan the batch, and confirm. The counted quantity is booked to the bin location immediately.
Repeat this for all products in the delivery and then complete the process via Complete stocking process.
Stock multiple supplier orders together
If multiple supplier orders from the same supplier arrive in one delivery, you can receive and stock them together in one goods receipt. To do so, tap Select in the list of supplier orders, check the orders and confirm the selection, for example with Select 2 supplier orders. With Select all you check all orders in the list.
As soon as you have checked the first order, the list only shows orders from that supplier. The preview combines the open quantities of all selected orders per product, and after Start stocking all selected orders are assigned to the goods receipt. With the X you discard the selection and can select a single order again.
More goods than ordered
While counting, you see the expected quantity from the order next to the counted quantity, for example 5/3. The expected quantity is only a guide and does not limit the count. If more has arrived than was ordered, simply keep counting. You can also scan a product again that you have already stocked completely, to stock additional units.
Tip: If you press and hold the confirm button, the app directly applies the expected quantity.
Stock products that were not ordered
In the one-step process, you can still stock products that are not in the order. Scan the product, or tap Stock another product below the list and search for it. It opens without an expected quantity. The bin location and, for batch-managed products, the batch are mandatory here as well.
Complete stocking
Stocking of a supplier order does not complete automatically once all expected products have been stocked. This way you can also stock goods from the delivery that turn up later. To complete it, tap Complete stocking process in the stocking menu. If nothing is open anymore, you will also find the action as a row below the list.
If quantities are still open, the app asks: Die offenen Mengen werden nicht angenommen. Möchtest du den Einlagerungsvorgang wirklich abschließen? If you confirm, the goods receipt only contains the stocked quantities, and the supplier order is partially delivered. If the rest arrives later, you receive it with a new goods receipt.
Pause and resume stocking
You can pause stocking and resume it later, even on a different device. Whatever you have confirmed up to that point has already been booked to the bin locations.
Attach delivery note and photos
In the one-step process, there is no separate recording step in which you attach documents. Instead, you attach delivery notes, photos and a comment via the info icon at the top right during stocking. There you can scan documents, take photos, delete both again and edit the comment of the goods receipt. The changes are saved to the goods receipt immediately and can be seen in the Pickware Admin on the goods receipt under Documents and photos. The info icon only appears after you have started stocking.
What is not offered in the one-step process
Some functions of regular stocking are not available in the one-step process, because receiving and stocking coincide:
Stock all and Dispose of remaining quantities
An approval of the goods receipt in the Pickware Admin before stocking
The one-step process for free goods receipts and returns. How you record and stock them is described in How can I stock a recorded goods receipt?.
