What do I need to consider for the DATEV export with Pickware POS?

Receipts, Click & Collect, document field 1 and cash accounts: here is what applies to the DATEV export with Pickware POS for Shopware 6.

A few special rules apply to the DATEV export with Pickware POS: The export of a POS Sales Channel contains receipts and return documents, but no invoices, Click & Collect orders run through the Sales Channel of your online shop, and you maintain the accounts for cash deposits and withdrawals per POS Sales Channel.

Which documents does a POS Sales Channel export?

The DATEV export of a POS Sales Channel contains receipts and return documents, no invoices. If an order only has an invoice, for example after a failed payment or because a flow generated the invoice, the export reports kein Verkaufsbeleg gefunden. If an order has both a receipt and an invoice, the export is made with reference to the receipt; the message about this is only a note.

Therefore, always create a receipt at the cash register, as the POS export does not take invoices into account.

With Pickware POS, you can create multiple invoice documents for an order. Please note that the DATEV export always uses the information from the oldest receipt.

If you made changes to the order after the receipt was created and created a new document, manual rework in DATEV is required. In this case, you receive a note in the export details.

Each order is exported individually, as is each cash deposit and withdrawal. In document field 1, the POS Sales Channel contains either the receipt number or the order number, depending on the configuration. Cash differences from the Cash Point Closing are also exported. You store the accounts for these in the DATEV configuration in the section Cash differences (Pickware POS).

How is Click & Collect exported?

Click & Collect orders belong to the Sales Channel of your online shop and are exported there. The export contains every invoice and every receipt of the order. The payment method (Cash or card) is only set at the time of payment.

Attention: If the shipping method of the Click & Collect branch store generates an invoice during picking, the revenue is recorded twice. Disable invoice generation in this shipping method.

Accounts and Sales Channels for Pickware POS

You can find the accounts for cash deposits and withdrawals at the very bottom of the DATEV configuration of the POS Sales Channel. To set them for an individual POS Sales Channel, you disable inheritance from the default configuration for that channel. You can find more about this in How do I configure my DATEV extension?

Multiple Pickware POS Sales Channels can be combined in a single DATEV export. Since POS Sales Channels are processed differently on a technical level, a combination is only possible with other Pickware POS Sales Channels, not together with regular Sales Channels.
