What options do I have for configuring goods receipts?

Shopware 6 — Configure goods receipts and set a default goods receipt warehouse. Create goods receipts in the Admin or WMS App and change the destination warehouse later.

With Pickware WMS and ERP (Pro), you can create and stock free goods receipts or goods receipts for supplier orders. You can find all goods receipts in your Shopware Admin under Warehousing → Goods receipts. In addition, the goods receipt mode is available in the WMS App, which you can reach via the app menu. Below, we introduce all configuration options for goods receipts.

Configure the default goods receipt warehouse

In addition to the default warehouse, you can also set a default goods receipt warehouse, which is preselected as the destination warehouse for goods receipts created via the Shopware Admin. During installation, your default warehouse is automatically also set as the default goods receipt warehouse.

If you want to set a different warehouse as the default for goods receipts, you need at least Pickware Advanced. Just like the default warehouse, the warehouse designated as the default goods receipt warehouse cannot be deleted.

In the Shopware Admin under Warehousing → Warehouses and bin locations, you can identify the default goods receipt warehouse by the checkmark in the corresponding column. Double-click the desired row to change the allocation.

How do I change the destination warehouse of a goods receipt later?

You can also change the destination warehouse of a goods receipt in the Shopware Admin after it has been created. This ensures that the goods receipt is assigned to the desired warehouse in the valued inventory.

To do so, open Warehousing → Goods receipts in your Shopware Admin. Select the desired goods receipt and open the detail view. Change the destination warehouse here and save the change.

You can change the destination warehouse as long as the goods receipt has not yet been included in the valued inventory. If the goods receipt has already been evaluated in a saved valued inventory, the change is locked. In this case, a corresponding error message appears.

Besides the destination warehouse, quantity-related fields can then no longer be edited either. The goods receipt state additionally shows that the goods receipt is included in the valued inventory.

The default warehouse is not changed this way. The later change to the individual goods receipt overrides the preselection only for this process.

Settings options for WMS

In the Shopware Admin under Settings → Extensions → Pickware WMS in the Goods receipt section, you will find the following configuration options:

Choose a stocking strategy

In general, when stocking with the WMS App, the default bin location is suggested first. Then, depending on your selection, an existing bin location or an empty bin location is suggested for stocking.

The scan requirement for bin locations does not apply when stocking in the goods receipt.

Goods receipt process

With the Goods receipt process selection, you define in how many steps a goods receipt runs: whether the goods are first received and, if necessary, approved before stocking, or whether goods from supplier orders are counted directly while stocking.

  • One step: count while stocking — Goods from supplier orders are counted in the WMS App while stocking and booked directly to the scanned bin location. There is no separate receiving step and no approval. Free goods receipts and returns run in two steps. To see what the process looks like in the app, read How can I receive and stock supplier orders in one step?.

  • Two steps: receive, then stock — After being created, the goods receipt is approved automatically and immediately gets the state Approved. You can stock the contained products right afterwards or later.

  • Three steps: receive, approve, stock — The process initially ends as soon as the goods receipt has been created. In the Shopware Admin, it gets the state Created and must first be approved there. After that, you can resume the process and stock the products. Goods receipts for returns are always approved automatically.

Automatically print goods receipt notes

If this option is enabled, a goods receipt note is generated when the goods receipt is interrupted. By scanning the barcode printed on it, you can resume the process at a later time.

The goods receipt is interrupted when the option Three steps: receive, approve, stock is selected under Goods receipt process, because after being created, the goods receipt must first be approved before the products can be stocked. The goods receipt can also be interrupted manually if the option Stock later is selected during the process.

Additional information on the goods receipts overview in the Shopware Admin

Under Warehousing → Goods receipts, you will find an overview of all goods receipts. Each goods receipt gets a goods receipt number, and the selected warehouse, the state, and the creation date are also shown. Stocked supplier orders can be identified by the entry in the Origin column. Via the context menu, you can open the details of the goods receipt and create a stocking list.

The following states are possible for goods receipts:

  • Created – Goods receipts with this state have been created but not yet approved. This state is only possible if the corresponding option for automatic approval of created goods receipts was disabled in the configuration.

  • Approved – Approved goods receipts have been created and checked and can be stocked. These goods receipts are also visible in the WMS App in the Open tab.

  • In progress – These goods receipts are currently being processed on an iOS device or have been postponed, and therefore correspond to the entries in the In progress and Postponed tabs in the WMS App.

  • Completed – This includes all goods receipts that have been fully created and stocked.

Goods receipt mode in the WMS App

In the WMS App, you reach the Goods receipt mode via the app menu at the top left. Here you see all not yet completed free goods receipts, goods receipts from supplier orders, and goods receipts from returns. Each process gets its own goods receipt number and, depending on its state, is sorted into one of the three tabs at the bottom.

  • Open tab – This is where goods receipts are listed that have been received and checked but not yet stocked. In the Shopware Admin, these have the state Approved. Please also note the notes on configuration in the Shopware Admin.

  • Postponed tab – This is where all processes are listed for which stocking was interrupted.

  • In progress tab – This shows all processes that are currently being processed on other devices.

Via the blue plus at the top right, you can create new goods receipts.
